I hate doing payroll. You probably do too. It involves math, strict deadlines, and a lot of paperwork. If you mess up, the IRS sends letters that ruin your week. Most small business owners start their companies because they like baking bread or writing code. They started doing the “thing” and it became a business. They don't start companies because they love filing Form 941.
Gusto exists to take that burden away. It is a platform that handles payroll, benefits, and human resources. I want to look at what it actually does. I will tell you if it is worth your money.

What Gusto Is
Gusto is a website. It lives in your browser. It manages how you pay your team. It started as ZenPayroll years ago. Since then, it grew. Now it handles health insurance, 401k plans, and time tracking.
It targets small to mid-sized businesses. If you have one employee, it works. If you have two hundred, it works. It is built for the US market. It handles W-2 employees and 1099 contractors.
I have used Gusto as a freelancer. I had a couple companies pay me using Gusto. Pretty easy process from that end of the ship.
The Setup Process
Setting up a payroll system is usually a nightmare. You need your EIN. You need state tax IDs. You need bank info.
Gusto makes a list for you. It tells you exactly what you need. I found the interface clean. You enter your company details. You add your bank account. Gusto sends two small deposits to verify the account – like comfirming a PayPal account. This takes a day or two.
Next, you add employees. You don't have to type everything yourself. You enter their email and their pay rate. Gusto sends them a link. The employee enters their own social security number and bank info. They fill out their own W-4. This saves you time. It also prevents typos. If an employee enters their own info, they own the mistake.
Maybe the hardest part is state taxes. Every state has different rules. Some states have city taxes. Gusto asks for your state accounts. If you don't have them yet, they give you links to the state websites. They try to help you get registered. It is still a chore. But it is a guided chore.
How Payroll Works
Once you are set up, running payroll is fast. You log in. You see a dashboard. Gusto tells you when your next payroll is due.
You click a button. You enter hours for hourly staff. Salaried staff are already set. You can add bonuses. You can add reimbursements for lunch or travel.
Gusto calculates the math. It shows you the total cost. This includes the employee's pay. It also includes the employer taxes you owe. You click submit.
Money leaves your company bank account. A few days later, it hits the employee accounts. Gusto handles the direct deposit. They also send an email to the employee. The employee can see their pay stub online. It is a simple flow.
I like the “Auto-pilot” feature. If everyone is on salary and nothing changes, Gusto just runs it. You don't have to log in. It just happens. This is great for busy people. Sometimes I forget what day it is. Auto-pilot ensures my team gets paid anyway.
Taxes And Compliance
This is the most useful part. Taxes are scary. Gusto calculates local, state, and federal taxes. They take the money out when you run payroll. They pay the government for you.
At the end of the quarter, they file the forms. At the end of the year, they generate W-2s and 1099s. They send them to employees. You don't have to stuff envelopes.
If you hire someone in a new state, Gusto tells you. They tell you which forms to fill out. They do not do everything for you in every state. Some states are difficult. You might still have to call a state office. But Gusto does the heavy lifting.
They handle workers' compensation insurance too. They can bake the payments into your payroll. This is “pay-as-you-go” insurance. It helps with cash flow. You don't pay a huge lump sum at the start of the year. You pay a little bit every time you pay your team.
Employee Benefits
Gusto acts as an insurance broker. You can offer health insurance through the platform. They work with big carriers like Blue Cross or UnitedHealthcare.
You choose a budget. You choose the plans. Employees log in and pick what they want. Gusto deducts the premiums from their checks. It is all in one place.
They offer other things too.

- HSA and FSA accounts.
- Life insurance.
- Commuter benefits.
Small businesses often struggle to offer these. Gusto makes it look like you have a giant HR department. It helps you compete for talent. If you want to hire a senior dev, they expect a 401k. Gusto makes that possible for a five-person shop.
They also have a “Wallet” app. Employees can use it to save money. They can see their pay history. They can even get an advance on their pay if they need it. This can be helpful for people living check to check.
Hiring And Onboarding
When you hire someone, you need a process. You need a signed offer letter. You need an I-9 form. You need to report the new hire to the state.
Gusto has templates. You fill in the blanks. You send the offer letter through the site. The candidate signs it digitally. This makes onboarding streamlined.
Once they accept, Gusto starts the onboarding. They can sign the employee handbook. They can set up their direct deposit. You can even set up a “shout out” to welcome them.
It keeps everything organized. You don't have a random folder of PDFs on your desktop. Everything stays in the cloud.
Gusto Pricing Tiers
Gusto is not free. They have three main plans.
The Simple Plan
This is for the smallest teams. It costs $40 per month as a base fee. Then you pay $6 per month for every person. It does basic payroll. It does taxes. It does some benefits.
The Plus Plan
This costs $80 per month plus $12 per person. It adds more features. You get time tracking. You get hiring tools. You get better support. Most growing businesses end up here.
The Premium Plan
This is for larger companies. You have to call them for a price. It adds a dedicated support person. It adds HR resources. It includes complex compliance help.
There is also a contractor-only plan. If you have no employees, you just pay the per-person fee. No base fee. This is great for freelancers who hire other freelancers.
The Pros
The interface is the best part. Most payroll software looks like it was built in 1995. Gusto looks like a modern app. It is easy to navigate. You don't need a manual to find the “Run Payroll” button.
The automation is excellent. Once it is set up, you spend maybe ten minutes a month on it. This gives you time back. Time is your most valuable asset.
The integration is strong. It talks to QuickBooks. It talks to Xero. It talks to FreshBooks. When you run payroll, the data flows to your accounting software. Your bookkeeper will be happy.
The support team is usually good. They have a big help center. They have chat and phone support. They know their own system well.
They handle the tax filings. This is why you pay them. If they make a mistake on a filing, they often pay the fine. This provides peace of mind.
The Cons
It is getting more expensive. A few years ago, the prices were lower. If you have 50 employees, that $12 per person adds up. There are cheaper options if you only care about the price.
The support can be slow during tax season. Everyone is calling at the same time. You might wait on hold.
International payroll is limited. Gusto is great for the US. If you have a team in the UK or India, it gets complicated. They have some features for international contractors. But it is not a global HR solution yet.
The health insurance is not available in every single state. They are in most of them. But if you are in a very rural area or a specific state, you might have to find your own broker. Check their map before you sign up.
Sometimes the “fun” tone is annoying. They use cartoons. They use cute language. If you are stressed about a tax audit, you might not want a cartoon pig telling you everything is okay. I prefer a more serious tone for financial tools.
The mobile app for employers is a bit thin. Employees have a great app. Employers usually have to use the web browser on their phone. It works, but it could be better.
Real Examples
Let's look at a bakery. Let's call it “Sourdough Pete's.” Pete has four employees. Two are full-time. Two are part-time students.
Before Gusto, Pete used a spreadsheet. He wrote checks by hand. He forgot to pay the state unemployment tax once. He got a $500 fine.
Pete switched to Gusto. He spends $64 a month ($40 base + $24 for four people). The students log their hours on their phones. Pete reviews them on Friday. He clicks “Submit.” The taxes are handled. The students get their money on Wednesday. Pete doesn't worry about the IRS anymore. For Pete, $64 is a bargain. It is the cost of a few loaves of bread.
Now look at a tech startup. They have 20 people. They are in five different states. They need health insurance. They use the Plus plan. They pay $320 a month ($80 + $240).
Gusto handles the registrations for all five states. When they hire a new engineer in Colorado, Gusto helps them set up. They offer a 401k through Guideline (a Gusto partner). The employees feel like they work for a “real” company.
Final Verdict
Is Gusto the best? For most small businesses, yes.
If you are a solo founder with one contractor, it might be overkill. You can just use a bank transfer.
If you have 500 employees, you probably need something more “enterprise.” You might want something with more custom reporting.
But for the middle ground, Gusto is hard to beat. It is clear. It is fast. It solves a painful problem.
I use it. I recommend it to friends. It makes a boring task simple. That is all I want from software. I want it to do the job so I can stop thinking about it.
Stop doing manual math. Stop worrying about tax forms. Let a machine do it. You have better things to do with your day. Maybe you want to grow your sales. Maybe you want to go home early. Gusto helps you do that.
The price is fair for the time you save. The peace of mind is worth more than the monthly fee. If you hate payroll, give it a try. You can always switch back to spreadsheets if you really miss the math. But I bet you won't.
